Colleagues, recently during the course of routine investigation it was determined that a campus department had placed sensitive information about their emergency response procedures on their departmental (public) web site. The information included the department’s emergency response plan as well as personal contact information, addresses, phone numbers, etc. The purpose of this email is to request that all Colleges, Schools, and Departments conduct a review of their web based information and remove any information that would be of a sensitive nature including emergency response procedures, facilities related information not of general interest or immediate value to the general public, information related to sensitive research, emergency contact information, etc.

Information related to emergency operations and disaster response should only be accessible to persons within your respective units. Your unit’s technical staff can easily secure this information at a negligible cost using unit or campus resources. We would like to encourage you to speak with your technical staff as soon as possible to discuss the solution that will work best for your unit.

Additionally, quite often, faculty will include information about the nature of their research activities, location of labs, etc. on their individual and/or departmental websites. While it is important to the public image and interests of our nationally renowned research institution to communicate the excellent efforts of our faculty, we would like to encourage researchers to review the nature of their website postings to exclude any information which could possibly be used for intelligence purposes by domestic or international terrorists. Division of Public Safety staff are available to assist in conducting these reviews and providing reasonable recommendations to maintain the proper balance of information posted on internationally accessible websites.

In summary, the Office of Campus Emergency Planning encourages all Colleges, Schools, and Departments to undertake a periodic review of web based information and remove any information that would be considered sensitive or restricted. Your cooperation in establishing and maintaining a safe environment for our campus faculty, students, staff, and visitors, is greatly appreciated. Thank you.
