Service Level Definition: File Services

Description

CIO can provide groups and individuals with server-based file folders. The benefits of server-based file folders include the following:

  • Access Privileges—patrons can specify who has access to these folders
  • Access from anywhere on the network—even from home
  • Backups—in case of disaster or accidental loss, our servers and their contents are backed up regularly

Some common uses of server-based file folders are below:

User Directory
Your very own folder with these added benefits: only you have access to it; you can access it from anywhere on the network—even from home. It's backed up nightly so your data is safe
Departmental Shares
A folder for administrative materials for your unit. A share has the same benefits as a User Directory, but multiple people can have access to it—for sharing the contents.
Project Shares
Project shares are the same as Departmental Shares but intended for sharing filespace among members working together on specific projects.

Who can use this service?

User directories and shares are available to any College of Education Faculty or Staff member, or any College of Education Unit or affiliated unit at the discretion of the Associate Dean of Administration and Technology.

What is expected of me and my unit?

All users should follow the best practices guidelines:

  • Data that resides on the server should be related to their work for the University.
  • Data must adhere to current copyright laws.
  • All programs must adhere to the University Anti-piracy policies.
  • Users should make a regular effort to organize their designated server space by:
    • Remaining under quota
    • Removing unused, unneeded files from the server, archiving to CD or DVD if appropriate

In addition to the above guidelines, Units will be asked to provide an administrative contact for their respective share. This contact will be able to do the following:

  • Make executive decisions on share/folder changes.
